3 Strategies to Maximize Your Efficiency with a Checklist
Building a great practice requires the use of systems in order to create efficiency in your day-to-day operations, but many leaders struggle with their implementation. However, it doesn’t have to be a complicated process, because there’s one simple system you can start using immediately: the checklist. A great checklist will make you more efficient by ensuring that nothing falls through the cracks, which results in operations that run smoothly and with less stress. Furthermore, the existence of step-by-step details will enable you to replicate procedures and maintain consistent, high-quality care. Consequently, you’ll make fewer mistakes and will be able to ensure compliance with regulatory requirements, providing an even safer environment for your patients.
The checklist is an incredibly powerful tool you can use to make a true difference, and you can get started TODAY by incorporating these three strategies:
- Create Effective Checklists
A checklist is only as effective as you make it, so take the time and be intentional when you create one. A good checklist prioritizes tasks to create organization, and we recommend doing so based on the importance and frequency of the tasks. We also like for each department to have their own specific checklists, because then they can tailor them to suit their particular responsibilities and processes. Kirk likes to say that “If it’s not in writing, it doesn’t exist,” so documenting tasks with a checklist creates a written resource you can rely on, but you have to take it a step further. A checklist is not a “set it and forget it” tool—you have to use it every day in order to make the most of it! Here’s a tool to help you create a downtime checklist, that helps teams maximize their downtime. You can use a checklist in almost every aspect of the practice!
- Create Accountability
One of the most powerful aspects of the checklist is its ability to provide clarity of expectations. Expectations are a crucial component to a successful team, as demonstrated by our favorite equation: E – R = C, or Expectations Minus Reality Equals Conflict. When you have a checklist that tells you exactly what’s expected of you with regards to processes and procedures, it sets up team members for success and reduces the chance of conflict. They’re able to focus on what’s most important, and you as the leader are able to trust that everything is getting accomplished.
Remember, you must work with your team in order to create and implement great checklists. The more they’re involved in the process, the more they’ll buy into the systems and use them! Furthermore, a checklist is a living, breathing document, so you must always keep working on it and making changes that keep it up-to-date and efficient. It’s a powerful tool, and when you integrate checklists into every department, the improvements will be incredible!
